Company Setup

Creating Your First Organization

After logging in for the first time, you will be prompted to create your organization. Follow these steps:

Step 1: Access Organization Setup

  1. Click on "Organizations" in the main menu
  2. Click the "Create New Organization" button
  3. You will see the organization creation form

Step 2: Enter Organization Details

Fill in the following information:

  • Organization Name: Your company or business name
  • Registration Number: Your business registration number (if applicable)
  • Tax ID/VAT Number: Your tax identification number
  • Industry: Select your industry from the dropdown
  • Currency: Select your primary currency
  • Country: Select your country
  • Address: Your business address
  • Phone: Business phone number
  • Email: Business email address

Step 3: Financial Year Setup

  • Financial Year Start: Select the start date of your financial year
  • Financial Year End: Select the end date of your financial year
  • Fiscal Year: This will be automatically calculated

Step 4: Save Organization

  • Review all entered information
  • Click "Create Organization"
  • Your organization will be created and you will be redirected to the setup wizard

Initial Configuration Wizard

After creating your organization, you will be guided through the setup wizard:

Step 1: Chart of Accounts

  • Choose a chart of accounts template for your industry
  • Or create a custom chart of accounts

Step 2: Tax Configuration

  • Set up tax rates applicable to your business
  • Configure tax rules for different transaction types

Step 3: Bank Accounts

  • Add your business bank accounts
  • Enter bank details for reconciliation

Step 4: Users and Permissions

  • Invite team members to your organization
  • Assign roles and permissions

Company Settings

Access company settings anytime from the main menu:

General Settings

  • Company name and details
  • Logo and branding
  • Default currency and language

Financial Settings

  • Financial year dates
  • Accounting method (Cash or Accrual)
  • Rounding preferences

Operational Settings

  • Invoice numbering format
  • Receipt format
  • Default payment terms

Multiple Organizations

Quick Accounting allows you to manage multiple organizations:

Creating Additional Organizations

  1. Click on "Organizations" in the main menu
  2. Click "Create New Organization"
  3. Follow the same setup process

Switching Between Organizations

  1. Click on the organization name in the top menu
  2. Select the organization you want to switch to
  3. You will be taken to that organization's dashboard

Best Practices

  • Ensure all company information is accurate before proceeding
  • Use the correct financial year dates for your jurisdiction
  • Set up your chart of accounts carefully as it forms the foundation of your accounting
  • Configure taxes correctly to ensure accurate reporting
  • Invite team members with appropriate permissions
